Terms & Conditions

1. Reservations and Payment

  • Booking Confirmation: All reservations must be confirmed with a valid credit card or prepayment. A booking is only considered confirmed once the hotel has issued a confirmation via email or message.
  • Deposit: We may require a deposit at the time of booking. The deposit amount and payment schedule will be outlined in your reservation confirmation.
  • Payment: Full payment for the stay is due at the time of booking, unless otherwise specified. We accept major credit cards and cash in local currency (Sri Lankan Rupees).

2. Prices and Taxes

  • Room Rates: All room rates are quoted per room, per night, and are inclusive of basic amenities (e.g., Wi-Fi, beach access etc.). The rates are subject to seasonal fluctuations and can be updated without prior notice.
  • Taxes: All rates are subject to applicable local taxes, including service charges and government taxes. The total amount due will be clearly stated in your booking confirmation.
  • Additional Charges: Any additional services (e.g. laundry, minibar, dining) will be charged separately and added to your final bill upon checkout.
  • Currency: Prices are listed in Sri Lankan Rupees (LKR). Any currency conversion rates used for payment are subject to fluctuations in the exchange rate.

3. Check-In and Check-Out

  • Check-In: Check-in is from 2:00 PM onwards. Early check-in is subject to availability and may incur additional charges.
  • Check-Out: Check-out is by 11:00 AM. Late check-out may be arranged upon request, subject to availability, and may incur additional fees.
  • ID Requirement: Guests are required to present a valid government-issued ID or passport upon check-in.

4. Cancellation and No-Show Policy

  • Cancellation:
  • If cancelled up to 7 days before the check-in date, no fees will be charged, and the deposit will be refunded in full.
  • Cancellations made within 7 days of the check-in date will incur a charge of 30% of the total booking amount.
  • Cancellations made within 48 hours of the check-in date the total price of the reservation will be charged and is non-refundable.
  • No-Show: If you do not arrive on the scheduled check-in date without prior notice, the full booking amount will be charged, and the reservation will be cancelled.

5. Modifications to Reservation

  • Modifications to the reservation (such as dates or room type) are subject to availability. Any price difference will be communicated at the time of modification.

6. Children and Extra Beds

  • Children: Children under the age of 12 stay for free if using existing bedding. Extra charges apply for additional beds or cots.
  • Extra Beds: Extra beds can be provided upon request, subject to availability, and will incur additional charges.

7. Pets Policy

  • Pets are not allowed at Stay Ceylon unless explicitly mentioned in your booking or prior arrangements are made with management.

8. Parking

  • Complimentary Parking: Stay Ceylon offers complimentary parking for its guests on a first-come, first-served basis. Guests are required to inform the hotel if parking is needed at the time of booking.
  • Liability: The hotel is not liable for any theft, damage, or loss to vehicles or belongings left in the parking area. Guests are advised to lock their vehicles and not leave valuables inside.

9. Guest Responsibilities

  • Conduct: Guests are expected to behave in a respectful manner towards hotel staff and other guests. Any behaviour that disrupts other guests may result in the cancellation of your stay without refund.
  • Damage to Property: Guests will be held responsible for any damage to hotel property or rooms caused by themselves or their guests. The cost of repairs or replacements will be charged to the guest’s account.
  • Valuables: While the hotel provides secure rooms, Stay Ceylon is not responsible for the loss of any personal items. A safe is provided in each room for valuables.

10. Accessibility and Special Needs

  • Accessibility: Stay Ceylon strives to accommodate guests with special needs. Guests requiring specific accessibility arrangements (e.g. wheelchair access, specialised equipment) are encouraged to inform the hotel at the time of booking. We will make reasonable efforts to fulfill requests, subject to the availability of appropriate rooms and facilities.
  • Special Needs Assistance: If guests require assistance due to medical conditions or other special needs, we recommend notifying the hotel at least 48 hours before arrival to ensure proper arrangements can be made. However, the hotel is not liable if certain services or accommodations are unavailable.

11. Hotel Events and Functions

  • Hotel Events: Stay Ceylon may host events such as weddings, private parties, or other functions that could affect normal hotel operations (e.g. noise, restricted access to certain areas). Guests will be informed in advance of any such events that may impact their stay. We will do our best to ensure that guests are not disturbed during these events.
  • Participation in Events: Guests may be invited to participate in certain hotel-organised events or activities. Participation is voluntary, and the hotel assumes no liability for injuries or damages that may occur during these activities.

12. Force Majeure

  • Force Majeure: Stay Ceylon is not liable for any delays, cancellations, or damages caused by events outside of the hotel's control. These include but are not limited to natural disasters, weather conditions, strikes, war, government actions, pandemics, or other events deemed acts of God. In such cases, Stay Ceylon reserves the right to cancel reservations without liability.
  • Refund Policy in Force Majeure: If a booking is canceled due to a force majeure event, guests will be offered the option to reschedule their stay or receive a full refund. This policy may vary based on specific circumstances.

13. Use of Hotel Facilities

  • Beach Access: Guests may use the beach located across the hotel at their own risk. The hotel is not liable for any injuries, accidents, or property loss while using the beach.
  • Other Recreational Facilities: Guests are required to follow posted guidelines when using the hotel’s recreational facilities. The hotel assumes no liability for accidents occurring from misuse of facilities.

14. Smoking Policy

  • Smoking is prohibited in all indoor areas of the hotel. Smoking is allowed only in designated outdoor areas. Failure to comply may result in additional cleaning fees.

15. Liability and Indemnity

  • Stay Ceylon shall not be liable for any injury, loss, or damage to guests or their property arising from circumstances beyond the hotel’s control, including but not limited to natural disasters, theft, or accidents.
  • Guests agree to indemnify the hotel for any claims, liabilities, or damages incurred as a result of their stay.

16. Privacy Policy

  • The personal data provided by guests during the booking process will be used solely for the purpose of the reservation and to provide a better service. Stay Ceylon does not share your data with third parties without your consent unless required by law.

17. Governing Law

  • These terms and conditions are governed by the laws of Sri Lanka. Any disputes arising from these terms shall be resolved under the jurisdiction of the Sri Lankan courts.
